Personal Information we hold

  • your name, title
  • gender (where you choose to provide this);
  • date of birth;
  • postal address, email address and phone number;
  • qualification registration / attendance of events;
  • contact preferences;
  • copies or details of correspondence sent to you, or received from you;
  • employment information and professional activities;
  • any other information provided by you at the request of AIT Training Developments Limited or the qualification Awarding Body.

Legal basis for using your information

Under data protection legislation, we are only allowed to use personal information if we have a proper reason or ‘legal basis’ to do so. In the case of AIT, there are a number of these ‘legal grounds’ we rely on, which are:

Where you have given your consent to AIT, for example:

  • you have opted in to receive messages related to qualifications and training from us
  • you have asked us to resolve an issue or complaint for you
  • you agree that testimonials or photographs can appear on our website or other supporter materials (such as our yearbook)

For the ‘performance of a contract’, for example:

  • in connection with the financial commitment relating to your qualification
  • where you make a purchase form our portfolio to achieve a qualification

How we collect your information

We may collect your information in several different ways:

Most of the information we hold is provided directly by you. For example, you may give us your information in order to register for one of the qualifications we offer.

We will also collect your information if you email, phone or write to us. If you telephone AIT your call may also be recorded for training and quality purposes.

Depending on your privacy settings, we may also collect information about you from your interaction on one of the Social Media platforms we use; for example if you post on our Facebook pages (planned)

On some occasions we may also collect publicly available information about you. You can read more about this in the sections below.

How we use your personal information

AIT uses your personal information in four main ways:

  1. To administer and fulfil your purchase order for a qualification programme
  2. To maintain an accurate record of your relationship with us and manage your contact
    preferences;
  3. To assist and guide you through your qualification and communicate with you
    throughout your programme.
  4. Where you have agreed, to send you information about your qualification and progressive steps in your chosen career path.

Automated Processing

Under data protection legislation we have to let you know if we use your personal information to do something ‘automatically’ using our computers or other systems that significantly affects you.

AIT does not make decisions or assumptions about you based on the use of automated systems, databases or computer applications.

Sharing personal information

In the process of achieving your qualification AIT has agreements with a limited number of third party service providers that require information about you in order to register you for your qualification and to award your qualification recognition.

Where we appoint an external supplier for reasons related to your learning and qualification any such arrangements will be subject to a formal agreement between AIT and that organisation or individual to protect the security of your personal information.

We will never pass your personal information on to any other organisation for marketing purposes and do not sell or rent personal information to third parties for any purpose.

In some circumstances, disclosures of personal information to the police (and other law enforcement agencies) are permitted by data protection legislation, if they relate to the prevention or detection of crime and/or the apprehension or prosecution of offenders. Before any such disclosure takes place, the police are required to
demonstrate that the personal information concerned is necessary for them to carry out a proper investigation.

Each police request received by AIT is dealt with on a strictly case-by-case basis to ensure that any such disclosure is lawful and carried out in accordance with relevant guidance issued by the Information Commissioner’s Office.

Length of time we keep your information

AIT will retain personal information in line with its data retention policy and the policy requirements of the qualification Awarding Body. This means that we will not hold information for longer than is necessary for the purpose we obtained it for.

To ensure that we do not retain inaccurate, out-of-date or irrelevant information, information will be regularly reviewed and we will delete anything that we no longer need.

Keeping your information secure

We take the privacy of our clients very seriously and a range of robust policies, processes and technical measures are in place to control and safeguard access to, and use of, personal information associated with AIT.

What are Cookies?

We collect information about your use of our Site through cookies. Cookies are small text files which are sent to and stored on your computer, tablet or smartphone that help our site to remember who you are and record information about your visit. Cookies make it easier for you to visit our site again, and configure our site information to make it more useful to you. Most major websites use cookies.

For example, a cookie counts the number of different people visiting our site, or using a particular site feature, rather than simply counting the total number of times the site or feature is used. This allows us to analyse and improve site performance.
  • User Cookies – These cookies improve your experience on our site by remembering your preferences.
  • Social Sharing – We use third party cookies to allow you to share our content directly on the social networking/sharing sites like Facebook or Twitter. Please see our “Third Party Cookies” section below for more details.
  • Interest-Based Advertising – You will have noticed that when you visit websites you will be shown adverts for products and services you may wish to buy. The money made by website owners for showing third party adverts on their websites often pays for the cost of running the website and therefore usually allows you to use the website without having to pay a registration or usage fee. To try and ensure that the adverts you see are relevant to you third party cookies may be used to collect information about the types of things that interest you, for example websites you visit and the geography that you are based in. Having these cookies does not increase the number of adverts you will be shown, but simply makes the adverts you see more relevant. Please see our “Third Party Cookies” section below for more details.
